Privacy notice
Draft for review · 11 October 2026
Who is responsible?
This website is owned and operated by Tomlinson Wood Conveyancing Ltd (company number 17093010), registered in England and Wales. TomlinsonWood is a trading name of the company. You can contact the team at TWConveyancing@gmail.com or by writing to the registered office: Tennyson Road, Penarth, Wales, CF64 2RY.
The company’s legal professionals provide legal services through Taylor Rose, an authorised and regulated solicitors’ firm. This notice covers this website and initial enquiries only. Taylor Rose will provide its own privacy information when you become a client. The parties must confirm which organisation is the controller for each stage of an enquiry and legal matter.
Information this website handles
The enquiry form is currently disabled pending configuration. Once enabled, submitting it will send your name, email address, selected subject and message over HTTPS to a Cloudflare Pages Function. Cloudflare Turnstile will provide a verification token to help prevent automated abuse. The Function will validate the submission and ask Resend to email it to TWConveyancing@gmail.com, with your address set as Reply-To. If you contact us by phone or email directly, we receive the information you choose to provide.
- Enquiry details: your name, email address, selected service, message content, and any information you provide by phone or email.
- Website request details: your IP address, date and time, requested page or file, browser/device information and referring page may be processed by the hosting provider in technical or security logs.
- Font request details: when the page loads Google Fonts, your browser connects to Google’s servers, which may receive technical request information such as your IP address and browser details.
- Spam verification: when enabled, Turnstile processes a verification token and technical browser/request signals to assess whether a form submission is automated.
Please do not include identity documents, bank details, source-of-funds evidence or other sensitive information in an initial website enquiry. We will explain secure next steps if these are needed.
The Pages Function is designed not to save enquiry content to a database or log message bodies. Cloudflare processes the request and verification, Resend processes the email for delivery, and the message is then held in the receiving email account. Confirm each provider’s current privacy terms, logs and retention settings before launch.
Why information may be used
Initial enquiry information may be used to respond to you, understand what property service you are asking about, take steps you request before a possible engagement, and—where appropriate and with a suitable lawful basis—refer or share the enquiry with Taylor Rose so it can explain its services and onboarding process. Information may also be used to meet legal or regulatory obligations.
The appropriate lawful basis depends on who is handling the information and what happens next. Tomlinson Wood and Taylor Rose should confirm and document the basis for each purpose before this draft is finalised.
Purposes and lawful bases
The following are the likely purposes and possible UK GDPR bases for the current enquiry process. The organisation acting as controller must confirm the correct basis for each activity before this notice is finalised.
- Replying to an enquiry or estimate request: steps taken at your request before entering a contract, where applicable; otherwise the responsible controller should confirm whether legitimate interests applies.
- Passing an enquiry to Taylor Rose: only where appropriate to progress your request; the parties must clarify who controls this processing and identify its lawful basis.
- Providing legal services and keeping matter records: handled by the law firm responsible for the matter, which will explain the applicable contract, legal obligations and other bases in its own privacy information.
- Website delivery and security logs: the hosting provider’s purposes and lawful basis depend on the selected hosting service and must be confirmed from its terms and privacy information.
Who information may be shared with
For a website enquiry, information is processed by Cloudflare Pages to run the Function and host the site, Cloudflare Turnstile to validate the anti-spam token, and Resend to deliver the email. It is received in the team’s email account. If your enquiry is referred or progresses to legal services, relevant information may be shared with Taylor Rose. Information may also be disclosed to professional advisers, regulators, law enforcement or public authorities where necessary or required by law.
We do not sell enquiry information. The exact provider roles and any additional recipients should be confirmed before publication.
International transfers
Cloudflare, Resend, Google Fonts and email providers may process information in countries outside the UK. The exact locations and safeguards depend on the providers, account configuration and service terms. Before publication, confirm whether transfers occur and identify the applicable protection, such as UK adequacy regulations or an approved transfer safeguard.
How long information is kept
The Pages Function does not keep a database of submissions. Resend and the receiving email provider may retain delivery records and message content under their service settings; the team’s mailbox may also retain the enquiry. General enquiries should be kept only as long as needed to respond and follow up, subject to applicable legal or regulatory requirements. Confirm practical retention periods for Resend, the mailbox, Cloudflare logs and Taylor Rose matter files before publication.
Security and automated decisions
Information should only be accessed by people and providers who need it for the purposes described above, and should be protected with appropriate technical and organisational measures. The company and Taylor Rose should confirm the safeguards that apply to their respective systems and records. Please use the secure channel provided for identity and financial documents rather than sending them in an initial enquiry.
This website does not make automated decisions or create profiles about you. If this changes, or a separate legal-services provider makes automated decisions about a matter, that organisation should explain this in its own privacy information.
Your rights and questions
Depending on the circumstances, you may have rights to request access to your personal information, ask for inaccurate information to be corrected, request erasure or restriction, object to some uses, or receive information you provided in a portable format. You can also complain to the UK Information Commissioner’s Office. Some rights have conditions and may not apply in every case.
If you are unhappy with how your information is handled, you can complain to the Information Commissioner’s Office.
For website enquiries, start by emailing TWConveyancing@gmail.com. If your information relates to an active legal matter, use the contact details and privacy process provided by Taylor Rose.
